Effective date: 1st May 2025
At True Solar Limited, we take your privacy seriously. This policy explains what personal information we collect, how we use it, who we might share it with, and how you can access or correct your details.
We comply with the Privacy Act 2020 (NZ) and aim to be as clear and upfront as possible.
1. What information we collect
We collect personal information directly from you when you:
Fill in a form on our website
Call, email, or message us
Sign up for a consultation or quote
Confirm a job or enter into a contract with us
The information we may collect includes:
Your name and contact details (email, phone, address)
Property details (like roof type or site access notes)
Energy usage information (e.g. from a power bill)
Project preferences (e.g. if you’re interested in a battery or EV charger)
Business name (if it’s a commercial install)
Any communication between you and us (emails, call notes etc.)
We may also collect limited technical info when you visit our website, such as your IP address or device type, using tools like Google Analytics — but we don’t use cookies to track you across the web.
2. Why we collect your info
We collect your information so we can:
Give you accurate advice and quotes
Design a system that suits your needs
Manage your solar installation
Book inspections and grid connection
Send invoices and process payments
Keep you updated on project progress
Provide customer support or warranty help
Improve our services and website
We only collect what we need, and we don’t sell your info to anyone.
3. Who we may share it with
Sometimes we share parts of your information with trusted third parties so we can deliver the Works (your solar system). This may include:
Our qualified subcontractors and installers
Suppliers or distributors (e.g. for delivery or warranty registration)
The lines company or electricity retailer (e.g. for grid connection)
Software providers we use to run the business (e.g. HubSpot, OpenSolar, Xero)
We only share what’s necessary, and all third parties must follow NZ privacy laws too.
4. Where your data is stored
Some of our systems (like HubSpot and Xero) store data on secure cloud servers that may be located outside NZ — mostly in Australia or the US. These providers have strong privacy and security protections in place.
5. How we protect your data
We take security seriously. We use:
Secure cloud-based systems with encryption
Password protection and access limits for staff
Regular backups and software updates
Training for our team on privacy best practices
6. How long we keep your info
We keep customer records for at least 7 years, as required by NZ tax law. After that, we securely delete or anonymise data unless there’s a good reason to hold onto it (e.g. active warranties or unresolved issues).
7. Accessing or correcting your info
You have the right to ask us:
What personal info we hold about you
To correct or update your details
To delete your info (as long as we’re not required to keep it)
To do this, just email: hello@truesolar.co.nz
We’ll respond as soon as we can, and always within 20 working days.
8. Questions or complaints
If you’ve got any concerns or feel we haven’t handled your info properly, please get in touch — we’ll do our best to make it right.
If you’re still not happy, you can contact the Office of the Privacy Commissioner:

9. Updates to this policy
We may update this policy from time to time. If we do, we’ll update the date at the top and make the new version available on our website.
Thanks for trusting us with your info.
We’ll look after it properly — just like the rest of your solar project.
